A sale deed is the registered paper that says land moved: vendor and purchaser, consideration, the schedule, the sub-registrar’s stamp. In many files the same instrument is labelled conveyance. A bank, a mutation clerk, a buyer’s lawyer will ask for a photocopy of that deed — not of the agreement that came before it, and not of the rest of the almirah. Why a conveyance deed photocopy has to be searchable

The Indian ask is specific. They want a photocopy of the registered conveyance: stamp paper or e-stamp, parties as executed, consideration, the full schedule of property, the registration endorsement. Not a selfie of page one. Not a WhatsApp crop of the last wet stamp. A copy of title as booked, as if a xerox machine had seen every sheet.

Stamp paper is unkind to a shop lamp. Thin, tinted, serials in the margin, eight-point survey digits packed against a recital in another script. A 3 in the CTS becomes an 8. Photographs of the parties flare. The endorsement on the last pages blooms into grey.

A camera-roll JPEG fails later. The document number is in the picture. It is not in the file. Search the phone for sale deed, or the society, or the survey, and nothing comes back. A loan pack opens on Friday. You scroll Recents.

A conveyance deed photocopy searchable as a PDF is a different object. Each sheet sits square. The file has a name. Optical character recognition writes the vendor, the purchaser, the schedule, the consideration, and the document number into an invisible text layer. A JPEG of page 17 cannot answer “what is the plot.” A text layer can.

This is the registered conveyance. Not the agreement. Not the GPA.

An agreement to sell is a promise. A sale deed is the transfer. Title in immovable property moves when the registered conveyance is executed — not when a builder prints an allotment, not when someone signs a booking form, not when a possession letter is handed over at the gate. Scanning the agreement and naming the file sale is a rumour of title. Keep the agreement if you still hold it. Do not send it as the deed.

A power of attorney is agency. A GPA sale is not a registered conveyance. The paper that actually moved the land — if it moved — is this deed. Keep the power in its own PDF.

A gift, a relinquishment, a partition, a release — those are other registered instruments. Same colour stamp paper. Different nature of deed. If they asked for the sale deed, send the sale. If they asked for the conveyance the society executed, send that conveyance. Do not merge them “to be complete.”

Sale deed and conveyance deed are often two names for the same registered transfer. In some files — especially a Maharashtra society or a builder-to-buyer pack — “conveyance” is the later instrument that vests the land in the co-operative, and “sale” is the flat you bought from the promoter. Two instruments. Two files. Read the recitals. Scan each as issued.

The mother deed is the previous conveyance in the chain. Banks sometimes want that chain. Each deed is still one PDF. Do not bind 1978 into 2019.

A rectification is a correction of this instrument, not a replacement. Keep both, named separately. A certified copy from the SRO is the office’s photocopy; the bound original is the paper you own. Scan the one they asked for.

The rest of the property file is other paper. If they named the sale deed, send the sale deed.

The Registration Act, 1908 is why the last pages matter as much as the recitals. Non-testamentary instruments that create or assign rights in immovable property are the documents the Act insists on registering. The endorsement — document number, book, year, office, the stamp, sometimes photographs and fingerprints — is how the State says this happened. Crop those pages and you photocopied a story, not a registered conveyance.

Maharashtra IGR and other state registration portals will regenerate an e-registered deed if the index is digitised: a PDF with a QR and a digital signature. Keep that file. A branch that still says “xerox of sale deed” often wants the face of the bound stamp paper — coloured sheets, wet stamp, the photographs. Keep both when you have both.

विक्रय पत्र, sale deed, conveyance, हस्तांतरण विलेख, विक्री खत — same registered transfer, different spelling on the masthead. If the paper names a vendor, a purchaser, a consideration, a schedule, and a document number, that is the conveyance. Scan it as issued.

What the photocopy has to keep

Before you clip the deed back, open the PDF and check, without guessing:

  • Names of vendor and purchaser as executed, including the extra initial the deed added, and parentage if printed
  • Full schedule of the property: survey / CTS / plot / flat and floor, village or city survey, boundaries, area. Crop the box and you photocopied letterhead, not title
  • Consideration and stamp duty as numbers, not grey smudges. Franking or e-stamp certificate number, the QR if this is an e-stamp
  • Registration endorsement: document number, book, volume if printed, year, SRO, the stamp. A cropped last page is a cropped deed
  • Photographs and thumb impressions of the parties, if the original has them — faces, not white blooms
  • Witnesses, if they signed
  • Plan, schedule of fittings, or other annexure bound with this instrument — in the same PDF, in the same order as the clip
  • Every page, in order, including a “blank” stamp-paper reverse that only holds the serial or a continuation
  • Nature of deed as printed: sale, conveyance, deed of transfer. Do not rename a gift sale

If any of that is a crease through the survey, glare on the endorsement, or bleed-through from the reverse, reshoot while the original is still on the table. A sale deed you cannot read is not a copy. It is a rumour of title.

Stamp paper is thin and folded. Flatten first, then shoot, with a dark sheet underneath so bleed-through does not invent a second schedule. Do not iron the paper. Do not peel a photograph the SRO glued.

A photo and a PDF are not interchangeable here. PDF versus photo is the same fork: a file you can attach to a loan portal and find a sale later — not a thumbnail that dies in a chat backup. Forty pages also bloat; keeping a scanned PDF small is the size problem, not the title problem.

Scan the issued deed, not the unsigned draft the advocate emailed, and not the token receipt from the booking office. One instrument, one file. Do not bind the Andheri flat to the Pune plot because both say sale.

How to scan sale deed to PDF on phone

Treat the phone as the xerox machine. One registered conveyance, one PDF.

  1. Unclip. Flatten. Stamp paper curls. A glass at the far edge is enough weight. A fold through the schedule is a plot you will argue about.
  2. Dark, matte surface. Green or pink duty paper loses its edge on a white counter. A wood table or a dark notebook holds the corners. If the reverse ghosts through, slide a black sheet underneath.
  3. Light from above, not the flash. Flash on coloured paper, glued photographs, wet stamps, and e-stamp QRs is a bloom. Tilt a few degrees until glare leaves the franking and the faces.
  4. Fill the frame. All four corners. Stamp-paper serials live in the margin. The endorsement lives at the foot. Crop them and you photocopied a letter, not a deed.
  5. Every page, same sitting, same distance. Page 1 through the endorsement. Do not skip a “blank” reverse. Do not mix a 2018 first page with a 2024 rectification.
  6. Leave sister papers out. The agreement to sell, the GPA, the mother deed, the certified copy you also hold — other files.
  7. Export PDF, not JPEG. A photo is a picture of stamp paper. A PDF is the conveyance photocopy.
  8. Name it without the consideration. Sale-deed-Andheri-2019.pdf is a document. Consideration-1.4Cr.pdf parks money in every folder listing. Let search find the survey inside the file.
  9. Read the survey, the parties, and the document number out loud. Then search the phone for sale deed, or the society, or the CTS. Silence means the text layer is missing — a picture, not a conveyance deed photocopy searchable later.
